This Privacy Policy explains how RealOS, Inc ("RealOS", "we") collects and uses your personal information.

Welcome to RealOS, Inc. We value your privacy and are committed to protecting your personal data, as well as the proprietary lead data you manage within your business. This Privacy Policy governs your access to and use of the RealOS website (realos.pro), our mobile application, our CRM consulting and integration services, and the Ask Harvey browser extension.

To comply with applicable privacy laws and the developer requirements of the Apple App Store, Google Play Store, and the Chrome Web Store, this policy outlines how RealOS, Inc. (located in West Virginia) collects, uses, discloses, and safeguards your information, as well as your rights regarding data deletion and access.

1. Information We Collect

We collect information directly from you when you register, use our services, or interact with our mobile application, website, or browser extension.

A. Personal & Account Information

  • Identity Data: First name, last name, and professional titles.
  • Contact Data: Email address, mailing address, and phone number (explicitly collected for account management and SMS/text message communication).
  • Account Credentials: Lofty CRM user credentials, API tokens, or integration configurations needed to deploy automation services.

B. Mobile Application & Device Permissions

To provide full functionality within the RealOS mobile application, we may request access to specific device features. These permissions are only utilized upon your explicit consent:

  • Device Contacts: With your permission, the app allows you to search and select contacts to import manually into your CRM database. The app does not automatically scrape or bulk-upload your personal device contact book without individual user selection.
  • Device & Usage Data: IP address, operating system version, mobile device unique identifiers, and application performance crash logs (via Google Analytics for Firebase or Apple App Store Connect).

C. Client & Lead Data (Database Isolation)

As a user of our software and consulting structures, you may grant us technical access to your Lofty CRM database.

  • Data Partitioning: Under the RealOS Enterprise umbrella, your database is partitioned. Other teams or agents on the account have no visibility into your leads, notes, or communications.
  • No Cross-Pollination: Your leads remain exclusively yours. They are not shared with, nor can they be searched by, any other entity within the RealOS ecosystem.

D. Ask Harvey Browser Extension

Ask Harvey is an internal AI training assistant provided to Harvey Goodman Realtor (HGR) agents as a Chrome browser extension. It operates only on a specific list of real estate platforms used by HGR agents (including Lofty, MLS Matrix, Navica, FlexMLS, Dotloop, ShowingTime, Zillow, Realtor.com) and Gmail, and it activates only when you open the Harvey assistant on one of those pages.

When you use the extension, we may process:

  • Authentication Data: Your HGR/Firebase account email and authorization status, used to confirm you are an approved agent. Only whitelisted, active agents may use the extension.
  • Your Questions and Messages: The text you type into the Harvey chat assistant.
  • Page Context: When you invoke the assistant on a supported page, the extension may read the content of that page so Harvey can answer questions about what you are viewing. The extension reads page content only on the supported sites listed above, and only to provide assistant responses. It does not collect or transmit your general web browsing activity, history, or content from other websites.
  • Local Conversation History: Your chat history and the assistant’s on-screen position are stored locally in your browser (chrome.storage.local) so your conversation persists per site. This local data stays on your device.

The questions you submit and the relevant page context are sent to our secure backend (hosted on Google Cloud Run) and processed by our third-party AI provider, OpenAI, in order to generate Harvey’s responses. See Section 3 for third-party processing details.

2. How We Use Your Information

RealOS processes your data for specific business and technical operations:

  • To set up, manage, and verify your account status.
  • To deploy custom smart plans, property alerts, and automated follow-up workflows within your integrated CRM instance.
  • To operate the Ask Harvey extension: authenticate approved agents, read the content of supported pages when you invoke the assistant, generate AI responses to your questions, and store your conversation history locally on your device.
  • SMS & Communication: To send automated customer care and marketing messages to the phone numbers provided during registration. Users may reply “STOP” to opt-out of SMS communications at any time.
  • To monitor application stability and technical bugs to optimize performance on iOS, Android, and browser platforms.
  • To communicate administrative changes, support inquiries, and technical updates.

Data Ownership Guarantee: RealOS commits to never using, selling, or sharing your lead data, your account data, or your Ask Harvey conversations for advertising or any unrelated purpose. Should you ever decide to leave the RealOS Enterprise account, your database remains yours to take with you.

3. Data Sharing and Third-Party Disclosures

We do not sell your personal data or your leads’ data to third parties. We only share information with verified third-party vendors strictly necessary to provide our software infrastructure:

  • Infrastructure Hosting & Services: Secure cloud servers and database storage providers, including Google Cloud Run and Google Firebase.
  • AI Processing Provider: For the Ask Harvey extension, the questions you submit and the relevant page context are transmitted to OpenAI to generate assistant responses. This data is used only to produce Harvey’s replies and is not used to identify or market to you.
  • CRM Platform Partners: Secure API endpoints interacting directly with your certified Lofty CRM account to execute your automation scripts.
  • Analytics Providers: Google Play Developer Console and Apple App Store Connect for crash reporting and app performance statistics.

4. Data Security and Retention

We implement robust administrative and technical security measures—including secure API integrations and role-based access controls—to safeguard personal information from unauthorized access, loss, or disclosure.

We retain your account information for as long as your account remains active or as needed to provide you with services. Client lead databases remain securely partitioned within your active technical silos until an account modification or service cancellation occurs. Ask Harvey conversation history is stored locally on your device and can be cleared by you at any time from within the extension or by removing the extension.

5. User Rights and Data Deletion Requests

In compliance with applicable privacy laws and mobile application marketplace standards (Apple, Google, and the Chrome Web Store), you maintain control over your data:

A. Access and Portability

You have the right to request a copy of the personal information we hold about you or request the export of your database configurations.

B. Account Deletion and Lead Removal

You can request the complete erasure of your account, app usage history, and associated data at any time. To initiate a permanent deletion request, you must submit an email directly to our dedicated support team:

Upon receiving a verified request, we will delete your personal account data and terminate active integration connections within 30 days, unless legal or contractual compliance mandates temporary retention.

C. California Privacy Rights (CCPA)

Under the California Consumer Privacy Act (CCPA), California residents are granted specific rights regarding their personal information and the proprietary lead data they manage through our services.

  • Right to Know: You have the right to request details regarding the categories and specific pieces of personal information we have collected, used, or disclosed about you over the past 12 months.
  • Right to Delete: You have the right to request the complete erasure of your personal information and associated database configurations from our servers, subject to certain legal exceptions.
  • Right to Opt-Out of the Sale of Personal Information: RealOS commits to never using, selling, or sharing your lead data for any purpose. Because we do not sell your personal information or your clients’ data, there is no need to manually opt out of data sales.
  • Right to Non-Discrimination: We will never deny you services, charge you different prices, or provide a different level of quality for exercising your privacy rights.

California residents may exercise these rights at any time by submitting a verifiable consumer request to our administration team at support@realos.pro.

6. Age Requirements

Our services, website, mobile applications, and browser extension are professional real estate business tools intended strictly for licensed agents and users 18 years of age and older. We do not knowingly collect personal information from individuals under the age of 18.

7. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our software, marketplace requirements, or regulatory standards. The “Effective Date” at the top of this document will be revised accordingly whenever updates are published.
